Typically most organizations still run network file servers for storage, and staff use email for distribution. The result of this unmanaged process is duplication of content, lack of versioning and no trusted source of truth.
Our desktop integration enables staff to continue working the way they want to, but improves the document management process behind the scenes.
The Windows and Mac native desktop viewer allows users to view documents stored within the DMS directly from their desktop. The viewer will authenticate the user and display folder hierarchies and documents that the user has permission to access. Users can also create new folders from within the Viewer and perform searches across the document repository.
The Windows desktop integration allows users to drag any type of document from their desktop and drop directly into folders displayed within the CentricMinds Desktop Viewer. Further configuration allows automatic metadata to be applied to documents, and CentricMinds can also auto-extract pre-defined metadata from within the documents being published to the DMS.
Even without the Desktop Viewer open, users can right-click on any file on their computer and choose to send it to the DMS. Users can choose a quick check-in (sending the file directly to the DMS with-out providing any additional information) or a standard check-in (they are provided with a dialog window with a form to enter additional information about the file and its associated metadata etc.).
